Integration Technologies Group has unveiled the CENTRE Document Control System (DCS), a new module within its enterprise management suite designed to streamline document control and ensure the accuracy and currency of critical information. This system aims to address the common issue of version control and document management, which can lead to confusion and inefficiencies in organizations.
The problem, according to ITG, lies in the lack of robust control mechanisms. In many organizations, documents are shared via shared drives, email attachments, and printed binders, making it difficult to track the most current version. Changes are often made without formal approval, and obsolete documents can remain in circulation, leading to potential compliance issues during audits.
DCS introduces a single-source version control system where only the most recent approved version of a document is accessible to users. Previous versions are retained and linked to the current version, ensuring a complete historical record. Each document is classified according to its sensitivity, ranging from public to confidential, with a special category for obsolete materials. Access is managed centrally, allowing for easy policy changes without the need to update individual documents.
The system also mandates regular reviews of documents. Every document carries a review date, and two years after acceptance, the author must confirm whether the document is still valid, requires revision, or is obsolete. This ensures that all critical information remains up-to-date and relevant.
Users can search for documents using various criteria, including document number, version, title, abstract, file name, owner, classification level, author, department, document type, and keywords. The system supports wildcard searches and multiple selections to narrow down search results. For documents where the specific details are unknown, DCS searches the full content of every document in the database, using logical operators to combine terms.
DCS extends its functionality to include external documents, such as customer documentation, hardware manuals, and supplier materials. These documents are managed under the same classification scheme as internal documents, ensuring comprehensive control over all critical information.
The CENTRE suite, of which DCS is a part, covers a wide range of enterprise management functions, including IT service management, change and configuration management, release management, project and financial management, contract, risk, and SLA management, human resources, supply chain, and measurement and analysis. This comprehensive approach ensures that documents and records are managed in a cohesive and integrated manner.
ITG has been using CENTRE to manage its own operations for over two decades, maintaining various certifications, including ISO 9001, ISO/IEC 27001, and ISO/IEC 20000-1. The company has also achieved CMMI-DEV and CMMI-SVC Level 3 appraisals and CMMC Level 2 certification, underscoring its commitment to quality and compliance.
